1. About Our Services

Minar Jan Bookkeeping provides remote bookkeeping and QuickBooks Online support services to businesses, primarily serving clients in the United States.

Our services may include:

  • Monthly bookkeeping
  • Transaction categorization
  • Bank reconciliation
  • Credit card reconciliation
  • QuickBooks Online setup
  • QuickBooks Online cleanup
  • Accounts receivable support
  • Accounts payable support
  • Payroll bookkeeping
  • 1099 contractor bookkeeping support
  • Financial reporting
  • QuickBooks Online support
  • Other bookkeeping services agreed upon with the client

The specific services provided to each client will depend on the agreed scope of work.


2. Bookkeeping Services Are Not Tax Advice

Our services are bookkeeping services and should not be considered tax, legal, investment, or financial advice.

Unless specifically agreed in writing and legally permitted, Minar Jan Bookkeeping does not provide:

  • Federal or state tax preparation
  • Tax planning or tax advice
  • Legal advice
  • Investment advice
  • Audit or assurance services
  • Legal representation before the IRS or other government agencies

Clients should consult a qualified CPA, Enrolled Agent, attorney, or other appropriate professional for tax, legal, and regulatory matters.

We may organize financial records and provide bookkeeping reports that can be supplied to your tax professional.


3. Client Responsibilities

To provide accurate and timely bookkeeping services, clients are responsible for providing complete and accurate information.

Clients agree to:

  • Provide required financial records and documents.
  • Provide accurate transaction information.
  • Provide timely access to necessary bookkeeping systems.
  • Provide accurate bank and credit card statements.
  • Provide accurate vendor and customer information.
  • Review and respond to reasonable questions.
  • Notify us of significant changes to the business.
  • Maintain appropriate records and supporting documentation.
  • Review financial reports and notify us of apparent errors or discrepancies.

Minar Jan Bookkeeping is not responsible for errors resulting from inaccurate, incomplete, misleading, or delayed information supplied by the client.


4. QuickBooks Online

Our bookkeeping services may be performed using QuickBooks Online.

QuickBooks Online is a third-party software service. Clients are responsible for maintaining their QuickBooks subscription and complying with the applicable terms of the software provider.

We do not guarantee uninterrupted availability, performance, or functionality of QuickBooks Online or other third-party platforms.

Changes, outages, pricing, features, integrations, or policies of third-party services may affect the services we provide.


5. Access to Client Accounts

Where necessary, clients may provide authorized access to QuickBooks Online, banking platforms, payroll systems, payment processors, or other relevant business applications.

Clients should provide the minimum level of access reasonably necessary to perform the agreed services.

Clients remain responsible for their accounts, passwords, authentication methods, banking relationships, and overall account security.

We will not knowingly request unnecessary passwords or security information.


6. Scope of Work

The services included in a client’s engagement will be based on the agreed scope of work.

Services outside the agreed scope may require additional fees.

Examples of work that may require additional charges include:

  • Large-volume transaction cleanup
  • Historical bookkeeping
  • Complex reconciliation
  • Extensive QuickBooks Online cleanup
  • Additional bank or credit card accounts
  • Significant transaction volume increases
  • Special financial reports
  • Additional payroll-related bookkeeping
  • Additional contractor or 1099 support
  • Urgent or expedited work
  • Additional software or integration support

Any significant change in scope or pricing should be communicated to the client before the additional work is performed whenever reasonably possible.


7. Pricing and Payment

Service prices are based on the scope of work agreed upon with the client.

Prices displayed on our website are generally starting prices and may vary depending on:

  • Transaction volume
  • Number of accounts
  • Number of employees or contractors
  • Complexity of the books
  • Historical cleanup requirements
  • Business structure
  • Reporting requirements
  • Additional services requested

Invoices and payment terms will be communicated to the client before or during the engagement.

Unless otherwise agreed, invoices are due according to the payment terms stated on the invoice.

Failure to make timely payment may result in suspension or termination of services.


8. Payroll Bookkeeping

Payroll bookkeeping services may include recording payroll transactions, payroll liabilities, payroll-related expenses, and payroll payments.

Unless expressly agreed otherwise, payroll bookkeeping does not mean that Minar Jan Bookkeeping is acting as the client’s payroll tax preparer, payroll tax advisor, or employer representative.

Clients remain responsible for ensuring that payroll is processed correctly and that required payroll tax filings and payments are completed.

Where appropriate, clients should use a qualified payroll provider or tax professional for payroll tax compliance.


9. 1099 Contractor Support

1099 support may include organizing contractor payment records, maintaining vendor information, and preparing bookkeeping reports that assist with year-end 1099 processing.

Unless specifically agreed and legally permitted, our bookkeeping service does not constitute tax advice or a guarantee that a particular payment is or is not reportable on Form 1099.

Clients remain responsible for providing accurate contractor information and should consult their tax professional regarding 1099 reporting requirements.


10. Financial Reports

Financial reports may include, depending on the agreed service:

  • Profit & Loss Statement
  • Balance Sheet
  • Cash Flow information
  • Accounts Receivable reports
  • Accounts Payable reports
  • General Ledger
  • Trial Balance
  • Other QuickBooks Online reports

Reports are prepared using information available in the client’s bookkeeping records.

The accuracy of reports depends on the completeness and accuracy of the underlying information.


11. Accuracy and Review

We make reasonable efforts to maintain accurate and organized bookkeeping records.

However, bookkeeping involves information supplied by the client and third-party systems. Therefore, we do not guarantee that every error, omission, fraud, unauthorized transaction, or accounting issue will be identified.

Clients should review their financial records and reports regularly and promptly notify us of suspected errors.


12. Confidentiality

We understand that financial information is sensitive and confidential.

We will use reasonable measures to protect client information and will not intentionally disclose confidential information to unauthorized third parties except when:

  • Required by law;
  • Necessary to provide the agreed services;
  • Authorized by the client;
  • Required to protect our legal rights; or
  • Necessary to address fraud, security, or other legitimate legal concerns.

Clients are responsible for maintaining the confidentiality of their own account credentials and access information.


13. Data and Documents

Clients are responsible for retaining appropriate copies of their financial records, documents, reports, and supporting information.

We recommend that clients maintain their own backups of important business records.

We are not responsible for permanent loss of information caused by circumstances outside our reasonable control, including third-party software failures, account restrictions, cyber incidents, hardware failures, or loss of access to third-party platforms.


14. Communication

Clients may communicate with us through the contact methods provided on our website or through communication channels agreed upon during the engagement.

Clients should provide timely responses when information or clarification is required.

Delays in receiving information from the client may delay completion of bookkeeping services.


15. Third-Party Services

Our services may involve third-party platforms such as:

  • QuickBooks Online
  • Banking platforms
  • Payroll platforms
  • Payment processors
  • Cloud storage services
  • Other accounting or business applications

We are not responsible for the availability, security, pricing, policies, or performance of third-party services.

Clients are responsible for maintaining appropriate subscriptions and permissions for third-party services required for their business.


16. Cancellation and Termination

Either the client or Minar Jan Bookkeeping may terminate an ongoing service arrangement according to the applicable engagement or agreed notice period.

Upon termination:

  • Outstanding invoices remain payable.
  • Work completed before termination may be billed.
  • Access to client systems may be removed when appropriate.
  • Client records may be returned or made available where reasonably applicable.

We may suspend or terminate services if a client fails to pay, provides materially inaccurate information, requests unlawful services, abuses our staff, or otherwise materially violates these Terms.


17. Refunds

Refund eligibility depends on the nature of the service and the work already performed.

Because bookkeeping services involve time and professional work, completed services may not be refundable.

If you believe a service was not delivered according to the agreed scope, please contact us so we can review the matter and attempt to resolve it.


18. Limitation of Liability

To the maximum extent permitted by applicable law, Minar Jan Bookkeeping will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the use of our website or services.

We are not responsible for losses resulting from:

  • Incorrect information supplied by the client;
  • Client failure to review financial records;
  • Unauthorized transactions;
  • Fraud committed by third parties;
  • Third-party software failures;
  • Banking or payment platform failures;
  • Tax filing decisions made by the client or another professional;
  • Government actions or changes in applicable laws;
  • Events outside our reasonable control.

Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.


19. No Guarantee of Business or Tax Results

Our bookkeeping services are intended to help maintain organized financial records.

We do not guarantee:

  • A particular level of business profit;
  • Tax savings;
  • Tax refunds;
  • Approval of loans or financing;
  • Government benefits;
  • IRS or state tax outcomes;
  • Business growth or financial performance.

Business and tax outcomes depend on many factors outside our control.


20. Website Use

You agree to use our website lawfully and responsibly.

You may not:

  • Attempt to gain unauthorized access to our website or systems;
  • Introduce malicious software;
  • Interfere with website functionality;
  • Copy or misuse our content without permission;
  • Use our website for fraudulent or unlawful purposes.

Where a separate written engagement agreement exists between Minar Jan Bookkeeping and a client, that agreement may contain additional provisions concerning governing law, dispute resolution, payment terms, confidentiality, and scope of services.
